We are looking for a Design Project Specialist to join our team. The ideal candidate will be a creative thinker with a sharp eye for design, exceptional organizational skills, and the ability to manage and streamline workflows. This role will serve as the main point of contact for client design requests, oversee the completion of design projects, and ensure that our operations run smoothly and on time.

What you'll be working on

  • Client Briefing & Design Requests: Brief the design team on client requests that are not submitted through formal forms, ensuring clear communication of client needs and expectations.
  • Project Management: Oversee the timely execution of design requests, ensuring deadlines are met and quality is maintained. Ensure that design teams are aligned with project goals and timelines.
  • Client Communication & Approvals: Serve as the main point of contact for clients when needed, ensuring design approvals are received on time and that any feedback is incorporated effectively.
  • Client Calls & Action Items: Attend client calls, take detailed notes, and identify action items. Track and manage the completion of those action items, either personally or by delegating tasks to the appropriate team members.
  • Operations & Internal Procedures: Ensure that internal procedures for managing projects and workflows are followed meticulously. Maintain an organized and efficient system for project tracking and communication.
  • Team Coordination & Workload Management: Collaborate with internal team members to balance workloads and ensure that campaigns and design requests are completed on time, meeting client expectations.
  • Production Reports: Generate weekly and monthly reports on production status, providing insights on progress, timelines, and any potential delays.
  • Client Satisfaction: Track and manage client satisfaction metrics, ensuring that clients are happy with the quality, timeliness, and communication throughout the project lifecycle.
  • Process Improvement & Blocker Resolution: Identify any blockers in the workflow and provide solutions for process improvements, helping the team work more efficiently.
Must-haves and nice-to-haves

  • Time & Project Management: Strong organizational and time-management skills, with the ability to manage multiple projects at once.
  • Understanding of Design Principles: Creative with an eye for design, and a strong understanding of design principles.
  • Excellent Communicator: you can communicate clearly in both written and verbal format.
  • Proactive & Detail-Oriented: you are someone who is able to spot potential issues before they arise.
  • Successful Track Record in PM or Operations: Previous experience in a project management or operations role, preferably within a creative or design-focused environment.
  • Skilled in Email Marketing Platforms: Previous experience with at least one major email platform (Klaviyo, Mailchimp, HubSpot, Salesforce Marketing Cloud etc.).
  • Collaborative: You have the ability to collaborate across teams and manage internal and external relationships effectively.
  • Great with Asana & Productivity Tools: Proficient with project management software (Asana) and other productivity tools (Google Workspace, Zoom).
Location and hours

Fully Remote: We’re a remote-first company, so you can work from wherever you like!

Working hours
Monday to Friday with core working hours.
